Terms and conditions

For the Online Print Summit 2027 on 13 and 14 April 2027 at the Alte Kongresshalle in Munich. These terms come in two parts: Part A for attendees, Part B for partners and supporters.

In brief

The Online Print Summit is aimed exclusively at companies and their employees. Participation by consumers within the meaning of section 13 of the German Civil Code is not possible. Booking and ticket management run through the OPS Smart Hub. Payment is made by credit card through our payment provider.

Part A

Terms for attendees

Section 1 Subject matter

(1) These terms apply to the online registration for the Online Print Summit on 13 and 14 April 2027 in Munich, to the pre-event programme on 12 April 2027 and to the use of the Smart Hub. The organizers are zipcon consulting GmbH, Am Buchenhain 4, 45239 Essen, Germany, and Verband Druck und Medien Beratung GmbH, Einsteinring 1a, 85609 Aschheim bei München, Germany (hereinafter: the organizers).

(2) The event is aimed exclusively at companies and their employees. Participation by consumers within the meaning of section 13 of the German Civil Code is not possible.

(3) Only these terms apply to registration and to the use of the Smart Hub. The terms of use of the platform provider run.events GmbH, Mainzer Straße 186, 55411 Bingen am Rhein, Germany, may apply in addition to the use of the Smart Hub. Conflicting, supplementary or differing terms of attendees or third parties do not become part of the contract.

Section 2 Registration and conclusion of contract

(1) Registration takes place online through the Smart Hub of the Online Print Summit. The presentation of the event there is not a binding offer but a non-binding invitation to complete the booking process.

(2) By completing the booking process, the attendee submits a binding offer to enter into the attendance contract.

(3) The contract is concluded when the organizers declare their acceptance. Where payment is made through the payment provider, acceptance takes place automatically upon receipt of payment.

(4) The organizers have a special right of termination and may cancel bookings already made in individual cases. This requires the termination to be declared in writing within 14 days of receipt of the booking. This applies in particular to persons who do not align with the values of the Online Print Summit and of the organizers.

Section 3 Programme

(1) The programme is available in the Smart Hub.

(2) Changes to the schedule or to the content for good cause remain reserved. The organizers endeavour to announce changes in the Smart Hub in good time.

(3) Changes pursuant to paragraph 2 do not give rise to a reduction of the attendance fee.

Section 4 Attendance fee and payment

(1) The amount of the attendance fee is shown during the booking process. All prices are net prices and are subject to statutory value added tax.

(2) The early bird price applies to bookings made up to and including 26 October 2026. From 27 October 2026 the regular prices apply.

(3) Employees of companies that are members of one of our partner associations can book a lower-priced member ticket. The partner associations are BVDM and its regional associations, Fogra Forschungsinstitut für Medientechnologien e.V., Verband Druck und Medien Österreich, dpsuisse, VIGC, Intergraf, Febelgra, the Latvian Printing Association, KVGO, the zipcon Freundeskreis and Initiative Online Print e.V. Membership is requested during the booking process and must be evidenced in a suitable form on request before the event.

(4) The attendance fee covers participation in the programme including the accompanying materials provided, where released by the rights holders pursuant to Section 7, catering on the event days and the evening events. Travel and accommodation are borne by attendees themselves.

(5) Payment is made by credit card through the payment provider Stripe. The payment services are provided by Stripe Payments Europe Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland. Stripe's terms apply. Use requires the requested details to be provided completely and correctly. Incomplete or incorrect details may mean that a payment cannot be authorised.

(6) The invoice is sent to the business email address provided during the booking process. The invoice details follow the details given during the booking process. Where incorrect details have been provided, in particular regarding the company name, a subsequent change is only possible via contact@online-print-summit.com and against a corresponding amendment fee.

Section 5 Smart Hub and attendance

(1) In addition to the booking, a profile in the Smart Hub is required in order to attend. The Smart Hub is used through a supported browser; no app is offered for the Online Print Summit 2027.

(2) The profile requires a first name and surname, a valid business email address and the company. The email address together with an access code serves as access credentials. Further details, such as the job function, are voluntary and visible to other attendees as a profile.

(3) The details provided must be truthful and complete. Invented names and pseudonyms are not permitted. Multiple registrations are not permitted.

(4) Access credentials must be kept confidential. Passing them on to third parties or allowing any other third-party access to the profile is prohibited. Where there are indications of unauthorised use, the organizers must be informed without delay.

(5) Every ticket booked must be assigned to a specific person before the event begins. The assignment is made in the Smart Hub and can be changed up until the start of the event.

(6) Entry to the event requires the ticket provided in the Smart Hub to be presented.

(7) Participation in the C-Level Classrooms, the Executive Briefings and the pre-event programme is included in the ticket. As places are limited, registration through the Smart Hub is required. On-site booking is only possible where places are still available.

Section 6 Substitute attendee, withdrawal and cancellation

(1) Where an attendee is unable to attend, they may name a substitute. The substitute must be named to the organizers no later than 14 days before the event. The details required for registration must be sent to contact@online-print-summit.com before the event begins. No additional costs arise from this. No further claims exist. The substitute requires a profile in the Smart Hub pursuant to Section 5.

(2) Where an attendee withdraws and does not name a substitute in good time pursuant to paragraph 1, the full attendance fee becomes due. Depending on the time of withdrawal, we will however refund a part:

  • up to 30 days before the start of the event: 50 per cent of the attendance fee paid
  • less than 30 days before the start of the event: no refund

(3) The organizers may cancel or discontinue the event in whole or in part for good cause. Good cause exists in particular in the case of a justified risk of terrorist attacks, severe natural disasters, force majeure such as acts of war, strikes, epidemics or operational disruptions, as well as in the case of unavailability, illness or death of persons who are essential to the content and the delivery of the event.

(4) Where the event is cancelled pursuant to paragraph 3, the obligation to pay ceases to apply. Payments already made will be refunded. Where the event is discontinued, a pro rata refund will be made in proportion to the programme items that did not take place. No further claims arise from cancellation or discontinuation unless the organizers are responsible for the cause.

(5) The event is not deemed cancelled if it is held as a digital event instead.

Section 7 Materials and recordings

(1) Materials issued in connection with the event are protected by copyright. Reproduction and publication are not permitted. Use is permitted for the attendee's own purposes only.

(2) Photographic and audio recordings for commercial purposes are not permitted during the event.

(3) The organizers take photographs and videos during the event in which attendees may be visible. The attendee grants the organizers the right to use, make publicly available and distribute these recordings for reporting on the event and for promoting future comparable events, in particular on online-print-summit.com, beyond-print.de, zipcon.de, the websites of the Verband Druck und Medien associations and bvdm-online.de, in print and on social networks, without limitation in time or territory.

(4) There is no entitlement to be named.

(5) No remuneration is paid for the grant of rights pursuant to paragraph 3.

Section 8 Liability

(1) The organizers are liable without limitation for intent and gross negligence. For slight negligence they are liable in the case of injury to life, body and health.

(2) In all other respects, the organizers are liable for the slightly negligent breach of a material contractual obligation whose fulfilment makes the proper delivery of the event possible in the first place and on whose observance attendees may regularly rely. Liability is limited to the foreseeable damage typical for this type of contract at the time the contract was concluded. This limitation also applies to vicarious agents.

Section 9 Data protection

The data collected in the course of the booking and the use of the Smart Hub is processed in order to deliver the event and to communicate about it. The information set out in our privacy policy applies.

Section 10 Final provisions

(1) Should individual provisions be or become invalid, the validity of the remaining provisions remains unaffected.

(2) German law applies exclusively, excluding the UN Convention on Contracts for the International Sale of Goods.

(3) The place of jurisdiction for all disputes arising from or in connection with this contract is Munich.

Part B

Terms for partners and supporters

Section 1 Scope and subject matter

(1) These terms apply to the participation of companies as partners, start-up partners and supporters (hereinafter: OPS partners) in the Online Print Summit on 13 and 14 April 2027 in Munich. The organizers are zipcon consulting GmbH, Am Buchenhain 4, 45239 Essen, Germany, and Verband Druck und Medien Beratung GmbH, Einsteinring 1a, 85609 Aschheim bei München, Germany.

(2) The Online Print Summit offers companies from the supplier industry and print service providers the opportunity to present themselves at the event. This is based on the partner packages offered, the additional formats available for booking and the supporter packages.

(3) The supporter package is available exclusively to companies outside the supplier industry.

Section 2 Scope of services

(1) The organizers offer package-based services. The packages consist of building blocks for visibility, interaction and brand impact. Typical areas of service are:

  • exhibition and on-site presence
  • ticket allocations, included and discounted tickets
  • visibility in the event media, such as websites, the Smart Hub, the programme, partner overviews, the partner wall and print materials
  • editorial and promotional inclusion before, during and after the event, such as social media, newsletters, beyond-print.de and vdm-beratung.de
  • access to community and networking functions in the Smart Hub, including matchmaking
  • the option to include materials, for example in the goodie bag
  • participation in networking formats and optional Executive or C-Level formats

(2) The specific scope of services, the package names, contents, quantities, sizes, prices, deadlines, available additional options and conditions of participation follow from the description of services and packages published at the time of booking as well as from the booking confirmation. These documents become part of the contract. Updates apply to future bookings only.

(3) The version of the description of services and packages current at the time of booking is authoritative.

(4) Where a package including exhibition space is booked, the simultaneous use of the stand by several companies is not permitted, for example through joint branding, double presence or double logos. Each stand is intended exclusively for the registered OPS partner. Transfer to third parties is permitted only in justified exceptional cases and only with the prior written consent of the organizers.

(5) Editorial control, placement and design rest with the organizers. There is no entitlement to particular placements, time slots, formats, reach or a particular number of mentions unless expressly promised in the package booked. The organizers may curate, summarise, adapt or reject content where it breaches guidelines, legal requirements or technical specifications.

Section 3 Booking and conclusion of contract

(1) The OPS partner books the partner and supporter packages themselves through the booking website of the Online Print Summit.

(2) The booking becomes final only upon receipt of payment. Special placements and additional services require separate written confirmation.

(3) The contractually agreed services are deemed to have been delivered in part from the point in time at which an OPS partner is first named publicly in the context of OPS 2027, in particular through the publication of the logo on the website, in the Smart Hub, on social media, in the programme or in other official communication materials. The organizers' service period also begins at that point.

(4) The organizers have a special right of termination and may cancel bookings already made in individual cases. This requires the termination to be declared in writing within 14 days of receipt of the booking. This applies in particular to OPS partners who do not align with the values of the Online Print Summit and of the organizers.

Section 4 Prices and payment

(1) The prices of the packages are shown during the booking process. All prices are net prices and are subject to statutory value added tax.

(2) Payment is made by credit card through the booking website. Invoicing is carried out through the ticketing system or, on request, through Verband Druck und Medien Beratung GmbH.

(3) Following receipt of payment, an electronic invoice showing value added tax pursuant to section 14 of the German VAT Act is provided.

Section 5 Obligations to cooperate

(1) The OPS partner provides all content required for the delivery of the services, such as logos, texts, images and company details, in full, in suitable quality and within the deadlines set by the organizers, and ensures that it holds the necessary rights to do so.

(2) Where the OPS partner has booked a package including exhibition space, it ensures that the stand is set up at the agreed time and is continuously staffed by its own personnel or representatives until the official end of the event. Timely dismantling after the end of the event must likewise be ensured.

(3) A failure to cooperate in whole or in part does not release the organizers from their obligations, but may restrict the delivery of services or render it impossible. In such cases there is no claim to a refund or to compensation.

Section 6 Recordings

(1) The organizers take photographs and videos during the event in which OPS partners and their team members may be visible. The OPS partner grants the organizers the right to use, make publicly available and distribute these recordings for reporting on the event and for promoting future comparable events, in particular on online-print-summit.com, beyond-print.de, zipcon.de, the websites of the Verband Druck und Medien associations and bvdm-online.de, in print and on social networks, without limitation in time or territory.

(2) No remuneration is paid for the grant of rights pursuant to paragraph 1.

Section 7 Changes to the event format

The organizers reserve the right to make changes to the programme, adjustments to timings and a change of venue where this is necessary for organisational reasons and reasonable for the OPS partner. This applies in particular in the case of force majeure or official requirements.

Section 8 Withdrawal and substitute partner

Where the OPS partner withdraws, the following conditions apply:

  • up to 12 weeks before the start of the event: refund of 50 per cent
  • less than 12 weeks before the start of the event: no refund

A substitute partner may be appointed subject to the consent of the organizers. Where the partner does not attend, no refund is made.

Section 9 Cancellation of the event

(1) The organizers reserve the right to cancel or postpone the event for good cause. Good cause exists in particular in the case of force majeure, official orders, security concerns, an epidemic or pandemic situation, technical impossibility or other unforeseeable events that make delivery impossible or unreasonably difficult.

(2) Where the event is cancelled due to statutory requirements or official orders, the amount already paid will be refunded according to the following model:

  • cancellation up to 30 September 2026: 100 per cent
  • cancellation up to 30 November 2026: 50 per cent
  • cancellation thereafter: 20 per cent

(3) Further claims, in particular for consequential damages, loss of revenue or travel costs, are excluded.

(4) Where the event is postponed or held in digital or hybrid form, the services booked remain effective, adapted to the new format. In that case there is no claim to a refund provided that the essential elements of the services are retained.

Section 10 Liability

(1) The organizers are liable without limitation for intent and gross negligence. For slight negligence they are liable in the case of injury to life, body and health.

(2) In the case of a slightly negligent breach of material contractual obligations, that is obligations which make the proper performance of the contract possible and on whose observance the contractual partner may regularly rely, liability is limited to the foreseeable damage typical for this type of contract, but at most to the value of the package booked.

(3) The limitation of liability also applies to fault on the part of a legal representative or a vicarious agent.

Section 11 Data protection

The data collected in the course of partner registration and package booking is processed in order to administer the cooperation and to communicate about the event. The information set out in our privacy policy applies.

Section 12 Final provisions

(1) German law applies, excluding the UN Convention on Contracts for the International Sale of Goods.

(2) The place of jurisdiction is Munich.

(3) Should individual provisions be or become invalid, the remaining provisions remain unaffected.

(4) Side agreements must be made in writing.
